Introduction

The Data Viewer in Grooper is a specialized tab within the Review activity that allows users to review, validate, and edit data extracted from Documents in a Batch. It provides a clear, interactive interface for ensuring data quality before completing a Batch Process. The Data Viewer is designed to help users efficiently navigate through Documents, inspect extracted Data Fields, Data Tables, and Data Sections, and make corrections as needed.

Accessing the Data Viewer

To access the Data Viewer:

  1. Open Grooper and navigate to the Batches page.
  2. Select a Batch that contains a Data Viewer activity.
  3. Click on the Batch to open it in the Review activity.
  4. In the Review interface, select the Data Viewer tab to begin reviewing extracted data.



Navigating the Data Viewer

The visual display of the Data Viewer includes:

  • Extracted Data Fields are highlighted in green, indicating valid data.
  • If Grooper detects errors within the Batch, a yellow exclamation mark appears on the Data Viewer tab.
  • If errors are detected on a specific document, a red warning icon displays the number of errors found.
    • Clicking the red warning icon expands a list of errors detected on the Document.
  • Users can select each field to view the extracted data.
  • Use the Tab key to navigate through each field and move to the next page in the Document if it contains multiple pages.

Reviewing Extracted Data

Reviewing Data Fields

To review extracted data for each Data Field:

  1. Select the desired Document in the Data Viewer.
  2. Click on a Data Field to view its extracted value.
  3. Fields highlighted in green are valid; fields with errors will be highlighted in red.

To override and validate extracted data:

  1. Click on the Data Field you wish to correct.
  2. Enter the correct value in the field.
  3. Press Enter or click Save to validate the new value.
  4. The field will update its validation status.

To perform Rubberband OCR on a Data Field for data that was not extracted:

  1. Select and right-click the Data Field needing correction.
  2. Choose "Rubberband OCR" from the context menu.
  3. Use the Rubberband OCR tool to draw a box around the desired text on the Document image.
  4. The extracted text will populate the Data Field.


Reviewing Data Tables

To delete rows from a Data Table:

  1. Select the Data Table within the Data Viewer.
  2. Click on the row you wish to delete.
  3. Right-click on the chevron icon to the left of the row and select "Delete Row" from the context menu.
  4. Confirm the deletion.

To add rows to a Data Table:

  1. Select the Data Table.
  2. Right-click on the chevron icon to the left of the row and select "Add Row" from the context menu.
  3. Enter the required data in the new row.
  4. Save your changes.

Reviewing Data Sections

A Data Section is used in Grooper for:

  • Organizing Data Fields and Data Tables.
  • Restricting extraction to a specific section of a Document.
  • Extracting repeating Data Fields and multi-instance Data Sections.


Reviewing Single-Instance Data Sections

  1. Select the Data Section in the Data Viewer.
  2. Review the contained Data Fields and Data Tables.
  3. Make corrections as needed and validate each field.


Reviewing Multi-Instance Data Sections

  1. Select the multi-instance Data Section.
  2. Use the navigation controls to move between section records.
  3. Review and edit each record as needed.


Deleting Data Sections

  1. Navigate to the record you wish to delete.
  2. Right-click anywhere within the Data Section and select "Delete Record" from the context menu.
  3. Confirm the deletion.


Adding Data Sections

  1. Right-click anywhere within the Data Section and select "Add Record" from the context menu.
  2. Enter the required data for the new record.
  3. Save your changes.

Valid Does Not Mean Accurate

Just because the extracted data within a Data Field, Data Table, or Data Section is marked as valid, it does not mean the data is accurate. Always verify that the extracted values match the actual information on the Document.

Completing the Review

To mark the Review as complete:

  1. Ensure all required corrections and validations are finished.
  2. Check that the completion criteria are met (all required fields are valid, and no unresolved errors remain unless exceptions are allowed).
    • Completion criteria are rules that must be satisfied before a Review can be marked as complete. These may include resolving all data validation errors or meeting specific workflow requirements. If criteria are not met, the Review cannot be finalized.
  3. Click the Complete Review button.
  4. Confirm completion when prompted.
