The Folder Viewer is a core feature of Grooper’s document review interface, designed to help users navigate, inspect, and manage documents and folders within a Batch. Whether you are reviewing scanned documents, performing quality assurance, or validating extracted data, the Folder Viewer provides a clear, hierarchical view of your Batch content, making it easy to find and work with the information you need.


Accessing the Folder Viewer

The Folder Viewer is available as a tab on the Review Page during a Batch review session. To access it:

  1. Navigate to the Batches page in Grooper.
  2. Locate the Batch that is on a Review Step, ideally being that of folder review.
    • NOTE: In Grooper, regardless of what's being reviewed (folders, data, thumbnails, etc.) Grooper will always refer to the Activity as simply Review. It is up to the Grooper Designer to distinguish the review via step naming; i.e. "Folder Review"
  3. Double-click the Batch to open it.
  4. Upon opening the Batch, the screen is divided into two halves: the Document Viewer on the right, and the Folder Viewer on the left.
  5. Over on the Folder Viewer, users are presented to Grooper's organization of whatever documents were in their Batch into folders.
  6. From here, navigate the hierarchy to ensure proper foldering, and fix issues where needed.

Key Features

  • Hierarchical Navigation: View Batches, folders, documents, and pages in a tree structure, similar to file explorers.
  • Context Menus: Right-click on any item to access commands relevant to that object (such as sorting, renaming, or assigning Document Types).
  • Keyboard Shortcuts: Many actions can be performed quickly using shortcut keys (e.g., Ctrl+R to open the Review command).
  • Completion Criteria: The Folder Viewer helps you track which folders or documents meet review requirements, showing completion messages when tasks are finished.

How to use the Folder Viewer

With having accessed the Folder Viewer, the next step is to actually use it. But how to make use of the Folder Viewer? First, users will need to be familiar with how to navigate the viewer and what actions to perform.

Navigating the Batch structure

The Folders Grooper created will be viewable. Migrate your cursor over to the left side of the screen to begin navigating the Batch structure.

  1. Select the folder.
  2. Expand each folder to view its contents.

Fixing foldering errors

Folder Viewer's strength comes when using it after Separation. It gives end-users the ability to ensure that Batch Contents have been separated properly, as well as the opportunity to fix issues when they arise. For example, one might encounter two different documents within the same folder, or the reverse where a multi-page document has different pages separated into different folders. To take care of this, users can perform the following actions: Append Folders and Split Folders.

Append folders

Append Folders can be used when you have overly separated documents. Meaning, that the pages of a multi-page document have been placed into more than one folder. For example, both pages of a two-page W-4 might be in separate folders instead of together in the same folder. In that case, you will need to append one folder to another in order to solve this. There are two ways to append folders: via cut-and-paste, and a Grooper command called Append to Previous.

Cut-and-paste method:

To copy and paste document pages into a different folder:

  1. Select the pages you want to move.
    • Hold the Shift key and click to select multiple pages.
  2. Right-click the page(s) and select "Cut."
  3. Right-click the Folder you want to place the pages.
  4. Click "Paste."


Append Folders command

While the Cut-and-Paste method is easy on its own, the Append Folders command can make moving document pages to a proper folder even easier, without all that clicking.

  1. Select and right-click the folder whose contents you wish to append to the previous folder.
  2. Select "Foldering."
  3. Select "Append To Previous."
  4. Grooper will then place the contents of the selected folder into the previous folder.



Split folders

Split Folders is useful for when Grooper placed too many documents within a folder. For example, suppose you have two different documents: an Information Sheet and a Pension Enrollment Form. Instead of being in separate folders as one would expect, Grooper goofed and put them in the same folder. To fix this, you can split the single folder into two, getting each document where it needs to be. There are two ways to perform the Split Folders action: Cut-and-Paste, and the Split Folders command.

Cut-and-paste

  1. Add a new Folder where you want to put the misplaced document.
    • Ensure you're selecting the right level for your new Folder.
    • You can either append or prepend the folder.
      • Append adds the new folder to the end of the folders already within the Batch
      • Prepend places the new folder at the beginning of the folders within the Batch
  2. Select the document you want to move into their own folder.
  3. Right-click.
  4. Select "Cut."
  5. Right-click the folder where you want to move the document.
  6. Select "Paste."


Split Folders

  1. Select the document pages that you wish to place into a new folder.
    • Shift + click for multiple pages
  2. Right-click the page(s)
  3. Select "Foldering."
  4. Select "Split Folders."
  5. Grooper will split the folder at that location, creating a new folder and put the selected document pages inside.
  6. The new folder will be created at the same level as the other folders.

Merging

The Merge Selected command allows users to merge both pages, and folders into a single folder, while creating a new folder for the pages. To merge items, perform the following:

  1. Select the pages you want to merge via Shift + click
  2. Right-click the selected pages.
  3. Select "Foldering."
  4. Click "Merge Selected."
  5. In the window that appears, you may choose to assign a Document Type to the new folder
    • To do so, click "☰" at the end of the Content Model property
    • Select the desired Document Type from the dropdown menu.
  6. Click "Apply" to merge the selected pages.
  7. And Voila! Grooper will merge the selected pages, placing them within their own folder.

Completing the review

Once all issues have been resolved, it's time to complete the review and move onto the next task. Normally, when Grooper detects there are no more errors to resolve, then a window appears on the screen, asking to complete the review. If all is well, click "OK." If not, users have the option to select "Cancel" and double-check.

If the prompt does not appear, or the user has disregarded the prompt, made a thorough double-check and now wishes to complete the task, then users can click the checkmark icon — — located in the top right of the toolbar. The same window will appear. Click "OK" to complete the review.
